AI & Workflow Modernization
Most contractors still run compliance on spreadsheets, paper timecards, and email. We help you put AI and automation to work on the busywork, with a person still checking what matters.
Let the software do the retyping. Keep people on the judgment calls.
Compliance work is full of repetitive steps: reading a timecard, matching a classification to a rate, checking a ratio, filling the same fields in three systems. Those steps are where errors creep in when people are rushed, and they're where AI and automation now save real time.
The judgment calls still need someone who knows the rules: whether a worker's tasks changed their classification, whether a fringe credit holds up, how to answer an agency. We design workflows where the tools do the first pass and a person makes the call, so you move faster without handing a certified payroll to a chatbot.
Because certified payroll includes Social Security numbers and pay data, we build in guardrails from the start: which tools are approved, what data never goes into a public AI model, and who reviews what before it's filed.
What we cover
Timecard and document intake
AI that reads paper timecards, daily logs, invoices, and sub payroll PDFs and turns them into clean data, instead of someone retyping them.
Pre-submission payroll checks
Automated checks that flag hours, rates, and classifications that don't match the wage determination before anyone signs the statement of compliance.
Deadline and paperwork tracking
Reminders and trackers for DAS-140s, DAS-142 requests, training fund contributions, registration renewals, and missing sub payrolls, so nothing depends on someone remembering.
AI assistants for your office
Set up and train your team on tools like ChatGPT, Claude, or Microsoft Copilot for drafting letters, summarizing contracts and notices, and answering routine questions, with clear rules about what data stays out.
Connecting the systems you already use
Your payroll software, spreadsheets, email, and shared drives linked so information is entered once and flows where it needs to go.
Dashboards for owners and PMs
One view of every job's payroll status, open issues, apprentice hours, and upcoming deadlines, instead of digging through folders.
What you get, in writing.
Nothing here lives in someone's inbox. Each of these is a document you keep, and together they're the record you hand an agency if a question ever comes up.
Workflow assessment
A written walkthrough of how payroll and compliance move through your office today, where the time goes, and where errors are most likely.
Modernization plan
A prioritized list of changes, starting with the ones that save the most hours for the least disruption, with the tools each one needs.
Working automations
The workflows actually built and tested on your real data, not a slide deck of ideas.
AI use policy
A plain-language policy for your team on approved tools, what data can and can't be shared with them, and when a person has to review the output.
Team training
Hands-on sessions for office and payroll staff on the new tools and the review steps, using your own jobs and paperwork.
Written procedures
Step-by-step instructions for each new workflow, so it keeps running when someone is out or leaves.
What contractors ask about this service.
Is it safe to use AI with certified payroll?+−
It can be, with the right setup. Payroll includes Social Security numbers and pay rates, so we only use tools with business data protections, keep sensitive fields out of public AI models, and keep a person reviewing anything that gets certified or filed.
Will AI file our certified payroll for us?+−
No, and it shouldn't. AI can prepare data, catch mismatches, and draft paperwork, but someone with authority still reviews and signs the statement of compliance. We build that review step into every workflow.
We're not a tech company. Is this too much for our office?+−
That's who this is for. We start with one or two changes that save the most time, train your people on them, and only add more once those are working.
Do we have to switch payroll software?+−
Usually not. Most of the gains come from connecting and automating around the systems you already use. If a change really would help, we'll explain why and what it involves before you decide.
